Winter Media Group LLC ("Winter Media," "we," "us") builds custom member-management platforms for associations. This policy covers wintermedia.io — our marketing site — and explains what information we collect here, why, and what we do with it. It does not cover the platforms we build and run for our clients; those are governed separately, by the agreement between the client and its own members.
What we collect
When you submit the "Build my free demo" form, we collect what you type in: your name, role, association name, work email, an approximate member count, and a free-text description of what isn't working for you today.
The form is protected by a bot-detection service that runs a brief automated check in your browser before submission. It may collect some device and browser signals as part of that check and can set a functional cookie; we don't see or store the underlying signals ourselves — we only receive a pass/fail result.
Like most sites, our hosting infrastructure keeps basic server logs (IP address, timestamp, requested page) for a limited period, for security and troubleshooting.
We do not run ad trackers or analytics scripts on this site today. If that changes, we'll update this policy first.
We do not track visitors across third-party websites, and therefore do not respond to Do Not Track signals.
How we use your contact information
When you request a mockup, demo, or other information, we use the details you provide to respond to your request and to follow up about how our services might fit your project. We may also occasionally send you relevant updates about Winter Media Group's services. Every marketing email we send includes an unsubscribe link, and we honor opt-outs promptly. Opting out of marketing does not affect emails required to complete something you asked for (for example, delivering your mockup).
Server logs and bot-check results are used only to keep the site secure and working — detecting abuse, debugging problems, and stopping automated spam.
Who else sees it
We use a small number of outside service providers to run this site and process what you send us. Each acts as a processor on our behalf — none of them get to use your information for their own purposes:
- a bot-protection service that screens form submissions before they reach us;
- an email delivery provider that sends the confirmation and notification emails this form triggers;
- our customer-relationship system, where demo-request submissions (and the IP address they were sent from) are recorded so we can manage your inquiry — it also powers the "Book a call" scheduling link;
- our hosting provider, which serves this site from the United States and keeps standard server logs.
We do not sell your information. We do not share it with data brokers, and we don't hand it to anyone outside the list above except where the law requires it.
Payments
This marketing site does not process payments and we never touch member dues, donations, or ticket money for our clients. When we build a client's platform, it connects directly to the client's own Stripe account — money moves from a client's member to the client's bank, not through us. If you're a member of one of our client's platforms, your payment data is governed by that organization's own privacy policy and Stripe's terms, not this one.
How long we keep it
We keep inquiry records while there's an active business conversation or prospect interest, and delete them on request.
Your choices
You can ask us to tell you what we have on file, correct it, or delete it, at any time. Email hello@wintermedia.io and we'll handle it directly — no account or login required, because we don't have one for you.
Security
We take reasonable measures to protect the information you send us; no method of transmission is 100% secure.
Children
This site is a business-to-business marketing site and isn't directed at children under 13. We don't knowingly collect personal information from children under 13.
Changes to this policy
If we materially change what we collect or how we use it, we'll update the date at the top of this page and, where the change is significant, note it clearly here.
